What iCal means in everyday vacation-rental life

iCal (also called ICS) is a standardized file format for calendar data. Platforms like Airbnb, Booking.com and Vrbo can use it to share occupancy with each other. So if you list on several portals at once, iCal can stop two guests from getting the same dates.

Worth knowing: iCal mainly transfers booked and free periods. Things like guest details, prices or messages are usually not synced. Each provider also sets its own refresh interval, so you should double-check any last-minute changes.

Find and share your calendar URL

Every platform gives you its own iCal address (URL). That URL is the key to syncing: it holds all the relevant occupancy data and can be imported into other calendars.

Import and export calendars

The process always follows the same idea: export the calendar on platform A (copy the URL) and import it on platform B (paste the URL). For data to flow both ways, you need to repeat the steps in reverse.

Airbnb explains in its help center that hosts can copy an iCal address and paste it into another calendar to match up bookings. Vrbo's help center walks you through importing an iCal or Google calendar and the settings available.

Common mistakes and how to avoid them

A frequent stumbling block is reservations that were created before you set up sync. They don't merge automatically – skip the manual check and you risk overlaps. Manual changes on one platform's calendar also don't always push through to the other right away via iCal.

Another point: some platforms limit how far ahead iCal will sync. If you plan far in advance, check that your full booking horizon is covered. And finally: iCal is no replacement for a channel manager – once you juggle many listings, plain iCal hits its limits fast.

For getting started, though, iCal is plenty. Follow the steps above carefully and check regularly, and you can reliably avoid double bookings – with no extra software cost.

How often does the iCal calendar refresh?+

No. Providers refresh imported calendars on their own schedule. How long that takes can change. For last-minute bookings, double-check the calendars involved.

No. iCal only transfers bookings as booked or free. Prices, messages and personal guest data stay on the original platform.

Can I use iCal with Google Calendar too?+

Yes. You can import the iCal URL from any platform into Google Calendar. That way you keep an eye on bookings in your personal calendar too.

What happens if I disconnect the sync?+

Bookings already transferred stay in the imported calendars but stop updating. New bookings only flow into their own calendar from then on.
